1. What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

TaskAI - Smart To-Do List does not require you to create an account or provide any personal identity information such as your name, email address, or password. Users are identified anonymously using device-generated tokens (such as Firebase Cloud Messaging tokens or device identifiers).

Task Content. When you use the application, you may provide task-related information including task titles, descriptions, categories, subtasks, priorities, scheduling preferences, and tags. This information is stored in our cloud database (Firebase Firestore) and is associated with your anonymous device identifier.

Voice Recordings. If you choose to use the voice input feature, the application will request access to your device's microphone. Your voice recording is sent to our backend server, which uses OpenAI's speech-to-text service (Whisper) for transcription. The voice recording is processed in real-time and is deleted immediately after transcription is completed. We do not store your voice recordings.

Important — Microphone Disclosure: Before accessing your microphone for the first time, the App will display a prominent in-app disclosure explaining that your voice recording will be sent to OpenAI for transcription. You must provide explicit consent before this feature is activated. You can revoke microphone access at any time via your device Settings > TaskAI > Microphone.

Sensitive Information. We do not process sensitive information.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number. All payment data is handled and stored by Apple Inc. and Google LLC.

Google API

Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Our use of data received from Google APIs is limited to providing or improving user-facing features within the App and is not used for advertising, selling data, or any other purpose.

5. Do We Use Cookies and Other Tracking Technologies?

We may use tracking technologies (such as advertising identifiers and SDKs) to gather information when you interact with our Services. We also permit third parties and service providers to use tracking technologies for analytics and advertising.

On iOS devices, we request your permission through Apple's App Tracking Transparency (ATT) framework before collecting your advertising identifier (IDFA). You may change your ATT settings at any time in your device's settings.

On Android devices, we may collect the Google Advertising ID (GAID) for advertising purposes. You may opt out of personalised advertising through your device's settings.

Our consent management platform (Usercentrics) ensures that analytics and advertising SDKs are not initialised until you have provided your consent.

Google Analytics

We may share your information with Google Analytics to track and analyse the use of the Services. To opt out of being tracked by Google Analytics, visit https://tools.google.com/dlpage/gaoptout. For more information, visit the Google Privacy & Terms page.


6. Do We Offer Artificial Intelligence-Based Products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

Use of AI Technologies

We provide AI Products through third-party service providers, including OpenAI. Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

Explicit Consent Required (Apple App Store Guideline §5.1.2(i)): Before using any AI-powered feature for the first time (voice transcription, AI task generation), you will be shown an in-app disclosure explaining that your input will be shared with OpenAI for processing. Your explicit consent is required before any data is sent to OpenAI. You can withdraw this consent at any time in App Settings.

Our AI Products

AI Model Training

Your data is not used to train AI models. OpenAI processes your input under their API terms, which prohibit training on API user data by default. Voice recordings are deleted immediately after transcription is returned to your device.

How We Process Your Data Using AI

All personal information processed using our AI Products is handled in line with this Privacy Notice. Voice recordings are sent to our backend server, which processes them through OpenAI's services. The recordings are deleted immediately after transcription. AI-generated task suggestions do not contain personally identifiable information as the application does not collect personal identity data.


7. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or securely store it and isolate it from any further processing until deletion is possible.


8. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organisational and technical security measures.

However, despite our safeguards, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. Transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.


9. What Are Your Privacy Rights?

In Short: Depending on your state of residence in the US or in some regions, you have rights that allow you greater access to and control over your personal information.

In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right to: (i) request access and obtain a copy of your personal information, (ii) request rectification or erasure, (iii) restrict the processing of your personal information, (iv) data portability, and (v) not be subject to automated decision-making.

Your Data & Deletion Options

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

Withdrawing Your Consent

If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time by contacting us or updating your preferences within the application's settings (Tracking Transparency card or consent management settings). Note this will not affect the lawfulness of processing before withdrawal.


10. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognising or honouring DNT signals, we do not respond to them at this time.

California 'Shine The Light' Law

California Civil Code Section 1798.83, also known as the 'Shine The Light' law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes. Please submit your request in writing using the contact details in Section 15.


12. Do Other Regions Have Specific Privacy Rights?

In Short: You may have additional rights based on the country you reside in.

Australia and New Zealand

We collect and process your personal information under the obligations and conditions set by Australia's Privacy Act 1988 and New Zealand's Privacy Act 2020. If you believe we are unlawfully processing your personal information, you have the right to submit a complaint to the Office of the Australian Information Commissioner or the Office of New Zealand Privacy Commissioner.

Republic of South Africa

At any time, you have the right to request access to or correction of your personal information. If you are unsatisfied with how we address any complaint, you may contact the Information Regulator (South Africa):


13. Children's Privacy ADDED

TaskAI - Smart To-Do List is not directed at children under the age of 13 (or 16 in the EU/EEA). We do not knowingly collect personal information from children under these ages.

The voice input (microphone) and AI features are not intended for users under 13. We do not process voice data from children.

If you believe a child has provided us with personal data, please contact us at hello@markconapps.com and we will delete the information promptly.


14. Do We Make Updates to This Notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we will notify you either by prominently posting a notice of such changes or by directly sending you a notification at least 7 days before the change takes effect.
